Staffing Referrals program manager: Requirements and time commitment

To be as successful as possible with Staffing Referrals, your agency needs to have a dedicated program manager.

The program manager will be in charge of administering your referral program and serve as a liaison between your agency and the Staffing Referrals team.

Who to assign as program manager

The program manager needs to understand your agency’s referral process, be comfortable with technology, and be an internal resource for your recruiters. Typically, this role is filled by a recruiting manager, but it may also be an office manager or a marketing manager.

Responsibilities and time commitment

During implementation and onboarding (5-10 hours)

  • Meet with the Staffing Referrals team to set up your account, create referral campaigns, and integrate your ATS (if applicable)
  • Attend training sessions to learn how to use Staffing Referrals as both an admin and a recruiter
  • Champion the software at your agency to get recruiters excited about your new referral program
  • Educate recruiters about how Staffing Referrals fits into your agency’s recruiting process
  • Ensure all recruiters have their Staffing Referrals accounts set up (e.g., profiles, referral link in their email signatures, etc.)
  • Work with the Staffing Referrals team to launch your new referral program
  • Meet with your Staffing Referrals account manager regularly to maximize your success

Ongoing (2-4 hours / week)

  • Weekly
    • Pull a candidates report and follow up with recruiters about their referrals
  • Weekly or biweekly
    • Broadcast hot jobs to your ambassadors
    • Coordinate referral bonus payouts
  • Monthly
    • Send emails to ambassadors to update them about your referral program
    • Upload new lists of potential brand ambassadors (if Staffing Referrals is not integrated with your ATS)
    • Move referred candidates into the appropriate buckets (if Staffing Referrals is not integrated with your ATS)
    • Report Staffing Referrals stats to leadership and recruiting team
  • Quarterly
    • Meet with your Staffing Referrals account manager
