What happens if a candidate is referred more than once?

Records in Staffing Referrals are based on the referred candidate’s email address. If Staffing Referrals is integrated into your ATS, it will not overwrite records unless you configure it that way.

If Staffing Referrals is integrated with your ATS…

Staffing Referrals will check a new referral candidate’s email address, phone number, and ATS ID, in that order.

  • If none of the fields match an existing candidate record, Staffing Referrals will create a new record in your ATS.
  • If any of the fields match an existing candidate record, Staffing Referrals will add a note to that record indicating the referral date and the name of the ambassador who submitted the referral. Staffing Referrals will not automatically overwrite any of the existing information.

    If you're using Bullhorn, you can configure your integration to overwrite the Referral Source and the “Referred By” field if you choose.

If Staffing Referrals is NOT integrated with your ATS…

Records in Staffing Referrals are based on the referred candidate’s email address. If a candidate attempts to apply again using the same email address, they will receive a notification that their email is already in the system.
